Welcome to DocExtractor ("we," "us," or "our" ). This Privacy Policy explains what information we collect, how we use it, and what rights you have in relation to it. This policy applies to all information collected through our website and services (the "Services").

1. What Information Do We Collect?

We collect two types of information:

• Personal Information You Disclose to Us: We collect personal information that you voluntarily provide when you register, such as your name, email address, and payment information (processed securely by our payment provider, not stored by us).
• Document Data You Provide: When you upload a document for analysis, we process its contents to provide the Service. This is the most sensitive data we handle, and we treat it with the highest level of security.

2. How Do We Use Your Information?

We use your information for the following purposes:

• To Provide and Manage Our Services: To create and manage your account, process subscriptions, and provide customer support.
• To Perform Document Analysis: The content of your uploaded documents is used exclusively to perform the data extraction you have requested.
• To Communicate with You: To send you important service-related notices, updates, and marketing communications (which you can opt-out of).

3. How Do We Handle Your Documents?

This is the most important section of our policy. Our business model is built on trust.

• Ephemeral Processing: Your uploaded documents are processed in a temporary, secure environment.
• Immediate Deletion: Once data extraction is complete, the original uploaded file is permanently and irretrievably deleted from our systems.
• Anonymized Structural Learning: To improve our service, we may retain anonymized, non-personal, structural information about documents (e.g., the typical location of an "Invoice ID"). We NEVER store any of your personal or financial data for this purpose.

4. Will Your Information Be Shared With Anyone?

We only share information in very limited circumstances, such as with your consent, to comply with the law, or with trusted third-party service providers (like Cloudflare, Microsoft Azure, and our payment processor) who are contractually obligated to protect your data.

5. How Do We Keep Your Information Safe?

We use a combination of technical and organizational security measures, including encryption and secure infrastructure, to protect your information. However, no electronic transmission can be guaranteed to be 100% secure.

6. How Long Do We Keep Your Information?

We keep your personal account information (name, email) for as long as your account is active. As stated in Section 3, we do NOT retain your uploaded documents or the sensitive data within them after processing.

7. What Are Your Privacy Rights?

In accordance with Rwandan law, you have the right to access, correct, update, or request deletion of your personal information at any time by logging into your account or contacting us.

8. Updates to This Policy

We may update this policy from time to time. The updated version will be indicated by a revised "Last Updated" date. We encourage you to review it frequently.
